The Alberta Medical Association is currently recruiting for a full-time Coordinator, Events and Governance for our Executive Office. This is a temporary position for an estimated 13 – 18 months.

Position overview
The AMA’s Executive Office is responsible for senior-level administration and support of the AMA’s governance structure (Representative Forum, Board of Directors, Executive Committee, and president), financial management and membership administration.
As the Coordinator, Events and Governance, you will be responsible for the planning and coordination of meetings arising from the Executive Office and for supporting AMA governance processes. This position will provide you with the opportunity to:
Manage events and meetings: Manage all logistic arrangements for key AMA corporate events including our Representative Forum (twice per year), board retreat and the board appreciation dinner. This includes negotiation and contracting of venue(s) and suppliers, coordination of on-line registration and meeting details, supervision of registration desk and management of on-site logistics.
Demonstrate initiative and sound judgement: Exercise considerable initiative, discretion and judgment in carrying out responsibilities for Executive Office and the AMA. Be able to represent AMA independently when required. Assess situations to determine the importance, urgency and risks, and make clear decisions which are timely and in the best interests of the organization.
Foster Teamwork: Work cooperatively and effectively with others to set goals, resolve problems and identify solutions to ensure the successful execution of events and other Executive Office responsibilities.
Support AMA’s governance processes: Provide support for the coordination of AMA governance processes such as elections/referenda, section establishment, section bylaws and section compliance ensuring that AMA procedures and constitutional requirements are followed.
Education and experience
- Two year post-secondary diploma (Business or Office Administration).
- Minimum of 5 years of related experience is required.
- Although equivalencies will be considered, the ideal candidate’s experience will consist of:
- Event planning, coordination and logistical planning of large meetings and conferences, including the use of registration software applications;
- Coordination and administrative support for a wide range of activities related to governance;
- A thorough working knowledge of MS Office including Word, PowerPoint, Excel, and Outlook; and
- Experience posting content to corporate websites an asset.
