The Alberta Medical Association is recruiting for a full-time temporary position of Administrator for our Public Affairs Branch. This is a temporary role for about six months with a possibility of extension.

Position Overview

In support of all branches of the AMA, Public Affairs is responsible for member communication and engagement, media relations, government affairs and public advocacy/relations. Our role is to serve as internal consultants, helping the AMA to achieve its strategic and business objectives.

Reporting to the Assistant Executive Director of Public Affairs, the administrator provides support for:

AMA award programs: Manages logistics of the program including the annual promotion cycle and committee coordination (scheduling, agenda preparation, minute taking and writing, expense claims).

AMA’s tracker survey: Coordinate and distribute surveys three times annually (plus any ad hoc surveys as led by the AED).

Annual general meeting: Support the AMA’s AGM including monitoring annual calendar with executive office; issuing call for documents; compiling submitted documents into professional report; ensuring appropriate proofreading and sign off; distributing final product to Executive office and ensuring that the AGM notice and report are sent to members on schedule by email.

Website administration: Monitor home page news feed and archive expired entries; adding new events; releasing and publishing approved web content; creating simple news pages; adding and taking down career pages; posting albertapatients.ca newsletters; adding new recipients and making annual updates to the award pages.

Public Affairs team: Working closely with team members to complete PA responsibilities such as: President’s Letter, proof reading, distributing News for Docs, vacation coverage, formatting speaking notes; coordinating member engagement events.

Photography Sessions: Coordinate photo shoots with the AMA photographer, tracking and maintaining registry of consent forms.

Corporate materials: Coordinate corporate stationery supplies with printer; support Executive Office with promotional materials; maintain relationship with printer/mail house/Canada Post; and support mail outs as required.

Experience and Education

  • Two-year college business, administrative or related diploma.
  • Two-to-five years of office administrative experience.
  • Experience with Microsoft Word, Windows, PowerPoint and Excel.
  • Experience with taking and drafting minutes is essential and must be accompanied by excellent proofreading, attention to detail, grammar and writing skills.
  • Experience with posting to and maintaining basic website pages and working with customer relationship management databases are assets.

  • A willingness to work in a team environment and with colleagues throughout the organization.
  • Ability to take satisfaction in coordinating and performing administrative tasks.
  • Demonstrate discretion and ability to handle confidential information.
