If yes, The Alberta Medical Association is recruiting for a temporary Administrative Assistant for our Southern Alberta Office in Calgary. This is a temporary position for approximately three months with possibility of extension.

Position Overview

The Administrative Assistant, SAO provides administrative support to the Assistant Executive Director, SAO. As the ideal candidate you will be an experienced administrative professional who is organized and has an eye for detail.

In this role, you will:

  • Demonstrate strong administrative skills by effectively and pro-actively supporting the Assistant Executive Director, SAO; including calendar management, travel arrangements, expense claims, drafting documents and prioritizing incoming correspondence.
  • Transcribes letters, minutes, memos and reports from handwritten or electronic material. Prepares reports and/or PowerPoints for distribution or for presentation.
  • Liaison with the Manager, Facilities for building matters at SAO.
  • Provides on-sight administrative support for meetings at SAO.
  • Establish and maintain positive working relationships. This position requires continuous contact with AMA staff, AMA members and external stakeholders.
  • Exercise considerable initiative, discretion and judgment in carrying out responsibilities and resolving day-to-day matters for AED and Southern Alberta Office.

As the ideal candidate, you possess the following qualifications:

Education and Experience

  • Two years post-secondary diploma with a major in business administration or related field.
  • At least four years of administrative experience in a professional office environment.
  • Experience working with Microsoft Word, Access and Excel is required.

  • Diplomatic and able to manage confidential issues
  • Must have experience with coordinating meetings and taking minutes (including action items, responsibilities and summary of discussions that took place. Strong writing skills required).
  • Must have excellent judgment and discretion: be capable of assuming responsibility and responding to the demands of work challenges; have flexibility and ability to prioritize; have a willingness to take direction but also be able to work with minimal supervision or direction; be able to anticipate, manage and plan.
