Coordinator, Zone Medical Staff Associations

The Alberta Medical Association is recruiting for a full-time position of Coordinator, Zone Medical Staff Associations. ZMSAs are regional representative bodies for physicians, both those with Alberta Health Services appointments and those without. ZMSAs are a crucial layer of representation in zone-related matters and are the representative bodies in matters related to AHS Medical Staff Bylaws and Rules.

Position Overview

The Coordinator, ZMSAs provides day-to-day logistical, administrative and operational support to contracted/assigned ZMSAs. This roles requires a customer-focused individual with demonstrated experience and knowledge in business administration.

In this role, you will have the opportunity to:

Build relationships: Establish and maintain positive working relationships with zone executives and members, colleagues within the AMA and external stakeholders.

Focus on client needs: Oversee and provide day-to-day operational and administrative support to contracted ZMSAs; ensuring a pro-active, customer-focused approach to completing responsibilities for the zone. This can include managing member data, expense management, budgeting, etc. You will also provide support to zone meetings including coordination of meetings logistics, compiling agenda documents, preparing minutes and managing action items arising from minutes to ensure they are being completed.

Project coordination: Coordinate and proactively monitor zone projects and initiatives to ensure that activities, budget and timelines are met.

Plan and make decisions: Determine strategies and approaches to effectively and pro-actively support ZMSAs. Provide recommendations on improvements to policies, processes and procedures.

Prepare business documents: Utilizing superior business writing and Microsoft skills to develop various business documents including letters, minutes, reports, policies and presentations.

Demonstrate initiative and sound judgement: Exercise considerable initiative, discretion and judgment in carrying out responsibilities for contracted zones. Utilize your knowledge of ZMSAs to respond to general inquires and monitor and triage incoming correspondence for the zone president and executives.

Behave ethically: Understand ethical behavior and business practices and use excellent judgment and discretion in dealing with zone and AMA business.

This position will be located out of our Edmonton Office but some travel for meetings within Alberta and/or attending meetings outside of regular business hours will be required to accommodate the schedules of members/external stakeholders.

Education 

  • An undergraduate degree with a major in business, health care administration or related field.
  • A minimum four years of program coordination experience including the management and administration of a wide range of activities related to boards and association governance. Equivalencies of education and experience may be considered
  • Experience working with in health care environment and/or an association is preferred.

Skills

  • Reliable with the ability to work under broad direction without close supervision.
  • Ability to build solid working relationships is essential as this position will be dealing with a number of internal and external stakeholders.
  • Proven organization expertise and ability to successfully manage multiple tasks and projects.
  • Ability to anticipate, assess and adapt to changing priorities and strategies.
  • Demonstrate excellent verbal and written business communication skills.
  • Have considerable initiative, discretion and sound good judgment.
