Position Overview

The Administrative Assistant, Physician and Family Support Program, will effectively and pro-actively provide a broad range of administrative support to the PFSP team. You will exercise considerable initiative, discretion and judgment in carrying out your responsibilities and ensuring the administrative needs for the program and team members are met.

In this role you will:

  • Work cooperatively and effectively with colleagues in a team-focused approach to support our members and clients and achieve PFSP objectives.
  • Actively contribute to the evolution of PFSP administrative business practices.
  • Provide administrative support for committee, group and individual meetings including scheduling, overseeing logistical details, assisting with agenda and document preparation, preparation of minutes, tracking action items and provide on-site or virtual administrative support.
  • Provide comprehensive administrative support to the Program Manager for various activities to ensure the efficient and smooth day-to-day operations of the program.
  • Draft and/or edit PPT presentations, documents and correspondence with direction from others with exceptional attention to detail.
  • Respond professionally and in a timely manner to phone and email inquiries to the PFSP administration office.

Education and Experience

  • 2 years post-secondary diploma with a major in business or administration.
  • 4 years of administrative experience in a fast paced professional environment
  • Superior knowledge of Microsoft Office applications is required, along with an aptitude for learning new programs and applications.
  • Experience using Zoom platform (both meeting and webinar environment).
  • Must have the ability to coordinate meetings and take minutes.

Skills

  • Strong oral and written communications skills with excellent grammar, punctuation and spelling.
  • Experience with scheduling, coordinating and hosting meetings, including taking minutes (action items, responsibilities and summary of discussions that took place).
  • Superior organizational skills and able to pay exceptional attention to detail.
  • Have excellent organizational skills and multi-tasking abilities, demonstrating the ability to prioritize and switch between competing requirements.
  • Possess strong interpersonal skills.
  • Be a self-starter who takes initiative to anticipate requirements and impacts, identify improvements and complete activities in a timely
  • Demonstrate good judgement and adhere to high standards of professional conduct and confidentiality.
  • Fully able to work effectively in a virtual environment (Zoom, MS Teams).

The salary for this role is $51,262 - $66,640.
